Implementation: who does the work, and what it asks of your team

The question under every software decision is whether it makes the operation easier to oversee or hands engineering another system to feed. Here is how an engagement actually runs, what we do, what your team does, and what stays true after setup.

Onboarding

Four steps from your current records to the first briefing

1. Records reviewed

Your inspection reports, vendor contracts, certificates of insurance, permits and open deficiencies are reviewed with your engineering lead or manager. Applicability is confirmed by your team — not assumed by the software.

2. Owners agreed

Who performs, who reviews, who sees the briefing. Whether vendors get logins is your call. Roles are configured to match how your property already runs.

3. Loaded for you

Obligations, schedules and existing documents are entered and configured for you where the source material supports it. Hands-on setup, not a self-serve upload.

4. First briefing

The engagement is live when the GM, board or ownership receives the first executive briefing showing the property's condition and what closes the gap.

After setup — your team
  • Attaches evidence as work is completed (the same photos and reports you produce today)
  • Reviews items awaiting verification
  • Receives and acts on expiring-document and overdue-item reminders
  • Updates owners and obligations when people or requirements change
  • Confirms applicability of new requirements with your engineer, counsel or authority
After setup — Mason Mathews
  • Support for your designated users, as defined in the engagement
  • Platform maintenance and improvements
  • Export of your records on request, per the client agreement
  • Retention through staff turnover: the record stays with the property
  • Retention after a subscription ends: per the client agreement

Timelines depend on how many properties are onboarded and the state of the existing records; they are agreed per engagement, not promised on a web page. Every engagement runs against success criteria agreed up front, so both sides know what "working" means.

Questions

Common questions

How long does onboarding take?

It depends on the number of properties and the state of the existing records, and it is agreed per engagement rather than promised here. The engagement is live when leadership receives the first executive briefing.

Who enters our obligations and documents?

We do, with your engineering lead or manager confirming applicability. Hands-on setup, not a self-serve upload.

What does our team have to do every week?

Attach evidence as work is completed, review items awaiting verification, and act on reminders. Owners and obligations are updated when people or requirements change.

Can we export our records if we leave?

Export access and retention after a subscription ends follow the client agreement; the record stays with the property through staff turnover during the engagement.
